Pending Tasks

The "Pending Tasks" card shows all tasks assigned to the logged-in user, either directly or through group membership. Each task was created by a running process and assigned for a specific purpose – such as an approval, a review, or data entry. This allows recurring tasks like approvals, invoice reviews, or leave request decisions to be handled directly from the dashboard.


What is shown here?

  • Task list: All open tasks, grouped by the respective process step (e.g. "Review request" or "Approve invoice").
  • Count: The total number of open tasks is displayed in the card header.
  • Search field: Use the search to find a specific task quickly.
  • New tasks: Newly arrived tasks are briefly highlighted so nothing is missed.
  • Filter bar: Use the buttons above the list to filter by specific task types.

Completing a single task

Clicking on a task opens its associated form. The form displays the relevant data – such as the applicant's name, the requested leave days, or the invoice amount. After reviewing the information, the task is completed using a button.

Actions

If the process defines multiple actions, they appear as buttons below the form. Typical actions include:

  • Approve – The process continues with a positive outcome.
  • Reject – The process is declined and routed accordingly.
  • Return to applicant – The process is sent back for revision.

Which actions are available is configured in the process designer and can vary per task. If no custom actions are defined, a simple "Complete" button is shown.


Batch processing

When multiple tasks of the same type are pending – for example, ten leave requests or twenty invoice approvals – batch processing can be used. Instead of opening each task individually, all forms are displayed one below the other and can be processed in a single pass.

How batch processing works

  1. Select a task group: The task list shows groups of similar tasks (e.g. "Approve leave request – 12 tasks"). Clicking opens the batch view.
  2. Review the forms: All tasks are displayed with their individual forms. Each form can be filled in separately.
  3. Choose an action per task: Next to each form, a dropdown menu allows selecting the desired action.
  4. Complete all: The "Complete all" button finishes all tasks with their respectively selected action.

Per-task action selection

Each task in the batch view has its own dropdown menu for action selection:

  • Without custom actions: The dropdown contains "Complete" and "Skip".
  • With custom actions: The dropdown contains all actions defined in the process (e.g. "Approve", "Reject") plus "Skip".

The first available action is preselected by default. This means that when most tasks require the same decision, they can be finished with a single click on "Complete all" – without changing each dropdown individually.

Skipping tasks

When "Skip" is selected for a task, it is excluded from the batch completion:

  • The form is displayed in a dimmed state.
  • The task remains open and can be completed later, either individually or in a subsequent batch.
  • Skipped tasks have no impact on the remaining tasks.

Example: Out of 15 leave requests, 13 should be approved immediately. Two require further clarification. The two uncertain requests are set to "Skip", the remaining 13 to "Approve". After clicking "Complete all", the 13 requests are approved. The two skipped ones remain in the task list.


Example

A manager has 20 pending tasks of the type "Approve purchase order". Using batch processing, all order forms are displayed together. For 18 orders, "Approve" is selected; for two orders, "Reject" is chosen. Clicking "Complete all" finishes all 20 tasks at once – each with its selected action.


Tips

  • Use batch processing: Especially for approvals and reviews, batch processing saves significant time.
  • Keep the default action: Since the most common action is preselected, only exceptions need to be adjusted.
  • Skip instead of postpone: Tasks that require further clarification can simply be skipped – they remain in the task list.
  • Use the search: The search field helps locate specific tasks quickly (e.g. by applicant name).
